Edit existing text: common problems and how to fix them

Resolve the text cannot be selected and the replacement shrinks or loses characters. Understand the limits before retrying.

Buddy’s illustration: Old contact line → Changed text object. Your document’s result depends on its content and settings.

Follow these steps

  1. Open a PDF. Select an existing text object on the page.
  2. Enter a short replacement and preview the changed PDF. Use characters supported by the available font and keep the replacement within its bounds.
  3. Keep the edited document in the workspace or export it. Reopen the output and inspect each changed line.

The text cannot be selected

It may be an image, outlined letters or unsupported structure. OCR can add searchability to a scan without rebuilding editable original text.

The replacement shrinks or loses characters

Try a shorter value and characters supported by the source font. Check the actual output and undo an edit that makes the line unreadable.

Check whether this is the right operation

This changes supported original text objects. Adding a white box and a new label is a different overlay workflow and may leave the old value extractable.

A more useful retry

For a contact-detail correction, compare the new number character by character. Reopen the downloaded PDF and test selection around the edit. A visually correct replacement still needs a check for wrapping and neighbouring text.

Check the result

Scanned text is an image and cannot be edited with this tool. Paragraph reflow is unsupported. Embedded fonts may lack new characters; fitting can shrink text to half its original size. A visible replacement is not a redaction guarantee.

Keep the original. When this task produces a file, reopen the download in the application where you will use it and inspect the affected pages. An illustration explains the operation; it is not a recorded processing test.

Practical tips

  • Keep the replacement within the supported font and text area. Aligned compatible paragraph editing has limits; mixed fonts, extra lines, scans and nested graphics can still prevent a reliable replacement.

Questions

The text cannot be selected?

It may be an image, outlined letters or unsupported structure. OCR can add searchability to a scan without rebuilding editable original text.

The replacement shrinks or loses characters?

Try a shorter value and characters supported by the source font. Check the actual output and undo an edit that makes the line unreadable.

Why can I not select a sentence?

It may be a scan, outlined artwork or unsupported text structure. OCR adds searchable text but does not reconstruct a fully editable layout.

Does this edit the original text?

Supported single-line PDF text objects are changed in the exported PDF. This is different from adding a text overlay.
